It always starts small. "Could you just tweak this logo?" or "Can we add one more page to the site?" You say yes because you want to be helpful. But these small favors add up, and suddenly a profitable project turns into a money pit. Scope creep is the silent destroyer of agency margins.
Why It Happens
Scope creep happens when boundaries are blurry. When clients communicate via Slack or email, it's easy for them to casually request additional work. And because it's informal, it's socially difficult for you to say, "That will be an extra $500."
The Solution: Formalize Requests
The easiest way to kill scope creep is to change the medium of the request. Move all task requests into a dedicated client portal. When a client has to log in, click "New Request," and fill out a form, it forces them to think about what they are asking for.
The Power of "Yes, But"
You don't have to say no. When a client asks for something out of scope, your response should be: "Absolutely, we can do that. Let me drop that into our portal as a new request and I'll attach the estimate for the additional work." This keeps the relationship positive while firmly protecting your profitability.
